Many small agencies have people who do both jobs: an owner who still covers shifts, or a scheduler who fills in on weekends. AveeCare lets one login hold both an office role and a caregiver profile, so that person signs in once and switches between the two views. Nothing has to be deleted or re-created to set it up or to take it away.
Quick answer
Open Accounts, find the person in the Account List, and click the Manage access icon (a person with a gear) in the Controls column. For an office login, pick their caregiver profile and click Add caregiver access. For a caregiver login, click Add office access and sign them out. They then switch views from the Office / Caregiver control in the top bar.
1. Open Manage access on the Accounts page
Find the person in the Account List.
Manage access appears on User, RootUser, and Caregiver rows. Patient (client-portal) logins cannot be given office or caregiver access.Click the person-and-gear icon.
The tooltip reads Manage access. On a login that already has both sides it turns green and reads Access — office + caregiver. The dialog shows two tiles, Office and Caregiver, with the side the login already has marked.
2. Add caregiver access to an office login
Make sure the caregiver profile exists.
Add the person on the Caregivers page first, with their pay rates and credentials, if they are not there already. Only profiles not attached to another login appear in the picker.Pick the profile and click Add caregiver access.
Search the Caregiver profile box, choose the person, and click Add caregiver access. They stay signed in. The Office / Caregiver switch appears on their next page load.
3. Add office access to a caregiver login
Click Add office access and sign them out.
The login becomes an office User and keeps the caregiver profile it already has. The person is signed out on every device, because their sign-in decides what the app lets them do and has to be reissued. They sign back in with the same email and password and have both views.A caregiver login with no profile cannot be promoted.
If the dialog says the caregiver account is not attached to a caregiver profile, re-link it from the Caregivers page first.
4. Switch between the Office and Caregiver views
A login with both sides gets a two-part Office / Caregiver control in the top bar, in the same place on a computer and a phone. The account menu also has a Switch view section. Switching takes them to that view's dashboard, with no second login and no signing out. The app remembers the last view they used.
5. Remove one side of the access
Remove caregiver access to keep only the office login.
In Manage access, under Remove access, click Remove caregiver access. The caregiver profile is not deleted and its visit history stays as it is. The person is not signed out.Remove office access to leave only the caregiver login.
Click Remove office access and sign them out. They sign back in as a caregiver. This option is not offered for the account owner, or for your own login.
What each view can do
- Office view works exactly like any office login with the same role and permissions: scheduling, clients, billing, and reports for the whole agency.
- Caregiver view shows only the visits assigned to their own caregiver profile, the same as any caregiver: clock in, document visits, and accept open shifts offered to them.
- Who the record says did the work. A visit they start that is assigned to their own profile is recorded under their caregiver name. A visit they start for someone else is recorded as done by office staff.
- The view is a convenience, not a permission. The login can reach the office side either way, so treat it like any office account.
Limits
- One caregiver profile, one login. Two logins sharing a profile would clock in as the same person and payroll could not tell whose hours they were. If the profile is taken, AveeCare names the account that holds it.
- The account owner always keeps office access, so someone can always reach billing and account settings.
- You cannot remove your own office access, because it is what lets you reach the Accounts page.
- Every change is written to the Audit Logs at the bottom of the Accounts page.
