Can I complete a visit before the paperwork comes in?

Turn on Track paperwork still to come, then complete visits with paperwork to come; they pay and bill as usual and stay on a Paperwork to come list until you mark them Received.

Short answer

Yes. Turn on Track paperwork still to come in Settings, Business Settings. Then, in the To complete panel on the Scheduling page, tick the visits and click Complete, paperwork to come. Those visits are completed and pay and bill as usual. They show a paper icon on the calendar and stay under the Paperwork to come tab until you click Received.

Step by step

  1. Open Settings, Business Settings, and turn on Track paperwork still to come.
  2. On the Scheduling page, open To complete.
  3. Tick the visits whose paperwork is still owed.
  4. Click Complete, paperwork to come and confirm.
  5. When the paperwork arrives, open the Paperwork to come tab and click Received next to the visit.

Good to know

  • Pay and billing do not change. A visit with paperwork to come is a completed visit. Pre-Billing shows a Paperwork to come note on its row, but the visit still counts as clean and goes to billing and payroll as usual.
  • One visit at a time: the menu on a row in To complete has Mark complete, paperwork to come.
  • Who still owes paperwork: the Paperwork to come tab lists every marked visit by caregiver, with the client, the visit date and how long ago it was marked. Export CSV downloads the list, including who marked each one.
  • Received from the visit itself: a marked visit shows Paperwork to come in its details, with a Received button.
  • Office staff only. Caregivers cannot set or clear the mark.
  • Turning the setting off hides the tab, the button and the icons. The marks are kept and come back if you turn it on again.
