Open the client, go to the Authorizations tab and choose Add Qualified Hours. Enter the hours allotted and the start and end dates, with a name if you like, then save. The client's Schedule tab then shows a Qualified hours panel with Allotted, Used, Booked and Left. Each finished visit adds its clocked time to Used. If a visit has no clock times, its booked time counts instead.
Step by step
- Open the client and go to the Authorizations tab.
- Choose Add Qualified Hours.
- Enter Hours allotted, and the Starts and Ends dates. A name is optional.
- If some hours are already used, enter them under Hours already used.
- Save. The panel appears on the client's Schedule tab.
Good to know
- It only warns. Building a schedule past the budget shows a warning, and you can still create the visits. Nothing is ever blocked.
- Not billing. Qualified hours never go on a claim or an invoice, and they do not change a payer split or anything sent to a payer portal. They are for your own planning.
- Dates matter. A visit counts only inside the budget's start and end dates, and only while its status is Active.
- Edit or delete a budget with the pencil or trash icon on its card on the Authorizations tab. Deleting it removes only the budget, never any visit.
- Who sees it? The office. Caregivers and clients do not see qualified hours.
