The right eMAR has barcode-verified or photo-verified administration, two-witness sign-off for controlled substances, automatic narcotic-count reconciliation, missed-dose escalation, PRN effectiveness follow-up, and a clean printable audit trail.
Common surveyor findings that good eMAR prevents: missing doses without exception reason, narcotic counts not matching, no follow-up documented after PRN administration, and PRN given without an order.
When demo'ing, ask the vendor to walk you through what happens if a caregiver is sick mid-shift and another caregiver picks up the med pass mid-round. The handoff should be auditable.
State regulatory fit: why generic AL software loses surveys
Assisted living regulation is state-by-state in the US. There is no federal AL regulator; each state writes its own staffing ratios, training requirements, medication-administration rules, and incident-reporting timelines. Your software has to match the state your community operates in.
The cleanest test: ask the vendor to show you their pre-built report library for your state. If they say "we can build that," that is a no. You want a vendor who has shipped that state's reports before, not one who is going to build it as part of your implementation.
