Home Care Software Free Trial: what "free" actually means in 2026

A free trial, a free demo, and a freemium plan are not the same thing. Here's what each really gives you and what each costs you.

If you see any of these, stop and re-read the contract before clicking accept.

Credit card required to start

You'll forget to cancel. The vendor counts on this.

Auto-conversion at end of trial

You wake up to a charge. Always read the fine print.

Trial doesn't include EVV or Medicaid billing

You can't evaluate the parts that actually matter.

Data export blocked during trial

You can put data in but not get it out. Hostage-taking.

Trial ends and you're forced into a 1-year contract

A real evaluation should let you click through scheduling, billing, EVV, and reports before you give the vendor anything. If they need your credit card to get started, you're not in evaluation mode anymore. You're in their funnel.

PHI in a free trial: what HIPAA actually requires

A vendor that handles client medical information (PHI) on your behalf is a Business Associate under HIPAA. You and the vendor must sign a Business Associate Agreement (BAA) before you put real PHI in their system. This is true during a free trial too, the trial doesn't exempt you.

  • Use only sandbox / sample data until you sign a BAA
  • Confirm encryption at rest and in transit
  • Confirm role-based access controls work in the trial
  • Confirm an audit log exists and you can read it

A sample 5-day evaluation schedule

If you spend an hour a day for a week, you can fully evaluate any home care platform. Here's the agenda we recommend.

Day 1 (Mon)

Schedule a recurring visit + assign a caregiver

Time it. Anything over 5 minutes is a red flag. Verify cert + preference matching surfaces conflicts.

Run a clock-in + verify EVV export

Open the caregiver mobile app, clock in, then check the EVV record in the office. Format must match your state aggregator.

Day 3 (Wed)

Build a payroll batch + reconcile to schedule

Confirm visits flow into payroll without re-keying. Pull the payroll summary report and verify against the schedule.

Day 4 (Thu)

Pull at least 3 reports relevant to your day-to-day

Visit log, AR aging, EVV exception. Verify the data matches what you'd expect. Try the report builder for a custom one.

Test data export + role-based access

Pull a CSV/XLSX of clients and visits. Log in as a fake caregiver and confirm they only see their own visits.

The verdict: at the end of Friday you know whether the platform fits. No sales call required.

Year 1 includes setup; year 2 reveals the real ongoing cost.

Multi-year contracts on cloud SaaS in 2026 are a red flag.

Ten terms that come up in every trial conversation. Worth knowing before, not during.

Sandbox

A demo environment with sample data. You can break things without consequences. Should not contain real PHI.

BAA (Business Associate Agreement)

A HIPAA contract between you and a vendor handling PHI. Required before importing real client data.

Auto-convert

Trial silently flips to paid at the end of the trial period if you don't cancel. Almost always paired with a credit-card-on-file requirement.

Freemium

A permanently free tier with feature caps (e.g., 5 caregivers, no Medicaid billing). Designed to make you outgrow it fast.

Self-serve

You access the product without a sales-rep handoff. The most efficient way to evaluate.

Data export

Your ability to leave with your client list, visit history, billing data. Verify the format and turnaround time before signing.

Implementation

The vendor-led setup process: data import, training, EVV connection. Should be priced and scoped before you sign.

CSM (Customer Success Manager)

Named person at the vendor whose job is to keep you renewed. Get yours by name on day one.

SLA (Service Level Agreement)

Vendor's contractual promise on uptime, support response, bug fixes. Without it, “24/7 support” means nothing.

Onboarding

The first 30–90 days after sign. Should include training, data migration, and a defined “go-live” milestone.
