- Software capable of viewing PDF files (Adobe Acrobat Reader or equivalent)
- A valid email address to receive electronic communications
- Sufficient storage space to save or print electronic records
By consenting to this Policy, you confirm that you have the necessary hardware, software, and internet access to receive, view, and retain electronic records. You agree to notify us immediately if your technical capabilities change in a way that prevents you from accessing electronic records.
6. How Electronic Signatures Work on AveeCare
When you provide an electronic signature on our platform:
- Authentication: You are authenticated through your account credentials and, where required, multi-factor authentication (MFA).
- Intent to Sign: You actively click a button or checkbox indicating your intent to sign or agree.
- Signature Capture: Your signature may be captured as a typed name, drawn signature on a touchscreen, or checkbox acknowledgment.
- Timestamp and Audit Trail: Each signature is recorded with a timestamp, IP address, and user identification for audit purposes.
- Secure Storage: Signed documents and signature records are stored securely with encryption and access controls.
- Confirmation: You receive confirmation of your signature, and signed documents are available in your account.
7. Security Measures
We implement robust security measures to protect the integrity of electronic signatures and records:
- Encryption: All electronic signatures and records are encrypted at rest (AES-256) and in transit (TLS 1.2+).
- Authentication: Multi-factor authentication is required to prevent unauthorized access.
- Audit Logs: Comprehensive audit trails document all signature activities.
- Tamper Detection: Systems detect any unauthorized modifications to signed documents.
- Access Controls: Role-based access ensures only authorized individuals can view or manage signatures.
- Secure Infrastructure: Our platform is hosted on AWS with HIPAA-compliant infrastructure.
8. Record Retention
Electronic records and signatures are retained in accordance with applicable legal requirements:
- Healthcare Records: Retained for a minimum of 6 years as required by HIPAA, or longer as required by state law.
- Business Records: Retained for the duration of your account plus 6 years after termination.
- Audit Logs: Signature audit trails are retained for a minimum of 6 years.
You may request copies of your electronic records at any time through your account or by contacting us.
9. Consent Acknowledgment
By using the AveeCare platform and providing your electronic signature, you acknowledge and agree that:
- You have read and understand this Electronic Signature Consent Policy.
- You consent to the use of electronic signatures, electronic records, and electronic communications as described in this Policy.
- You have the necessary hardware, software, and technical capabilities to access and retain electronic records.
- Your electronic signature has the same legal effect as a handwritten signature.

- You understand your right to request paper copies and to withdraw consent.
10. Healthcare-Specific Provisions
For electronic signatures related to healthcare services and Protected Health Information (PHI):
- Electronic signatures on healthcare documents comply with HIPAA requirements.
- Patient authorizations and consent forms may be signed electronically.
- Visit documentation and care records may be authenticated electronically.
- Electronic signatures on HIPAA authorizations are legally binding.
- Healthcare providers must verify patient identity before accepting electronic signatures on sensitive documents.
